Karuna Educational Trust operates Athena Global School (campuses at Chidambaram, Chengalpattu and Chennai) and the Athena Parents app and parent portal ("the App", "the Portal"). This policy explains what information we collect from parents and students through the App/Portal, why we collect it, and how it is protected. By signing in, you agree to this policy.
1. Who this covers
Parents/guardians who sign in to the App or Portal to view their child's/children's school information. Student data is entered and maintained by the School; parents view and interact with it, and can update limited profile details.

| Communication | Notices, circulars, Student Wall posts, PTM (parent-teacher meeting) bookings, appointment requests, feedback/survey responses, push-notification tokens |

3. How we use this information
- To show you your child's attendance, academics, fees, transport and school communication
- To send you notifications relevant to your child (attendance, fees due, notices, bus alerts, PTM slots)
- To let you book PTM slots, request appointments, raise concerns/leave requests, and respond to surveys
- To maintain the security of your account and prevent unauthorised access
- To improve the reliability and usability of the App/Portal
We do not sell or rent your data, and we do not use it for third-party advertising.
4. Who can see your data
Access is restricted by row-level security so that a parent can only see records for their own linked child(ren). School staff access student records as needed for school administration. We do not share student or parent data with third parties except:
- Service providers who run our infrastructure (database hosting, push notifications, payment gateway) strictly to provide the service — they do not use your data for their own purposes
- Where required by law or a valid request from a government/regulatory authority
5. Data security
Data is stored on access-controlled servers with row-level security enforced per account. Passwords are never stored in plain text. Bus location is only visible to parents of children on that route, during active trips.
6. Data retention
Student and parent records are retained for as long as the student is enrolled at the School and for a reasonable period afterwards for academic/statutory record-keeping, after which they are archived or deleted in line with the School's record-retention practice.
7. Your choices
- You can review and update your own profile details in the App/Portal
- You can control which push notifications you receive in Settings
- You can request a copy of, correction to, or deletion of your data by contacting us below (subject to the School's statutory record-keeping obligations for enrolled students)
8. Children's privacy
The App/Portal is intended for use by parents/guardians, not directly by children. Student information is entered and managed by the School as part of providing education services to enrolled students, with parental oversight through the App/Portal.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
